The business you can WhatsApp
You already know how to send a voice note. That is the only skill BOS asks of you. Here is what happens after you press send.
What we built
Inroads runs on the same system it sells. We call it BOS, the Business Operations System, and the easiest way to describe it is this: your business, in your pocket, and it answers when you talk to it.
At the front sits an assistant. Ours is called Kaira. She answers the phone, WhatsApp and the call button on this website, any hour of the day. She knows who has spoken to her before, books appointments in a real diary, and never tells a caller she has done something she has not.
Behind her sits the part nobody sees. After every conversation it writes the record straight: who the person is, what they wanted, what was agreed and what happens next. If something needs you, it tells you. If it does not, it leaves you alone.
We wrote about building it, including what broke, in We built it for ourselves first. This article is about something else: what it is like to use.
Before we switch anything on, we learn your business
A receptionist who does not know the business is worse than no receptionist. So nothing goes live until we have learned yours.
We sit with you and go through how your business actually runs. Your services and your prices. The questions customers ask every single week. The words you use, and the ones you would never use. Which jobs can be booked straight in and which need you to look first. How far you will drive. What counts as an emergency. Who gets a discount and who does not. When you do not work.
All of that goes into your assistant before she speaks to a single customer. Then we test her the way a customer would: the awkward caller, the one who wants a price over the phone, the one who phones at midnight with water coming through the ceiling. Only when she handles them the way you would does she start. And you still see everything she does.
There is nothing new to learn
Most business software fails for one simple reason: nobody has time to learn it. So we did not ask you to.
BOS works through WhatsApp, the app already on your phone. No new app, no dashboard to log into, no password to remember. You talk to your assistant the way you would talk to a good employee. Type a message or send a voice note. She replies. That is the whole training course.
If you can tell someone what you want, you can run BOS.
A normal Tuesday
Half past seven. A short message arrives before you have finished your coffee. Four bookings today, the first at nine. Two new enquiries overnight, both answered. One invoice unpaid for thirty days. One email that needs you. Nothing urgent. You know your day before it starts, in six lines.
Ten o'clock. You are halfway through a job and a regular customer phones your own cell. You take the call, agree Thursday at ten, and hang up. Then, instead of trying to remember it, you send a voice note to your assistant:
"Book Mrs Naidoo for Thursday at ten. Geyser service. Same address as last time."
"Done. Mrs Naidoo, Thursday at 10:00, geyser service at her usual address. She has her confirmation."
It is in your diary, and the customer has it in writing. You never opened a calendar.
Twelve o'clock. The week looks quiet.
"Let's do ten percent off anything booked for next Tuesday. Put something together for Facebook and Instagram."
A draft comes back: the words, the picture, ready to go. You read it.
"Approve"
It is posted, and when people comment or message, your assistant answers them and takes the bookings. Nothing goes out without your say-so.
Three o'clock.
"Who still owes me money?"
A short list comes back, oldest first.
"Send them a friendly reminder."
Done.
Friday afternoon.
"Block Saturday morning. I'm going fishing."
Saturday morning is blocked. Anyone who asks for it is offered another time, politely, without you ever hearing about it. You go fishing.
Why this suits the owner who hates technology
Some of the best business owners we know have no interest in software, and they are right. Their skill is the work: the repair, the treatment, the meal, the case. Every hour spent fighting a system is an hour taken from that.
BOS is built for them. It does not ask you to change how you work. It learns how you already work and takes the repetitive part off your hands. The decisions stay yours: what to charge, who to help first, what goes out under your name. The assistant prepares. You approve.
The advantage
Most small businesses lose work in exactly the same places. The call that rang out while they were on a job. The WhatsApp answered the next morning, after the customer had already booked someone else. The invoice nobody chased. The quiet week nobody advertised.
The business that answers first usually gets the job. The business that follows up gets paid. And the owner who is not buried in admin makes better decisions, because he has the time and a clear head to make them.
That is the advantage. Not a gadget, and not a replacement for you. More of your time, and fewer customers slipping through the cracks.
Want to see it?
Press at the top of this page and talk to Kaira. Tell her what your business does and she will show you what your own assistant would sound like. If you would rather talk to a person, she will book you fifteen to thirty minutes with our founder.
We are taking on a small number of founding clients, one business at a time, so that each one is set up properly.
